Please read these Terms and Conditions carefully before making any booking with Amanah Travel Services. By proceeding with a booking, you confirm that you have read, understood, and agreed to be bound by these terms on behalf of yourself and all members of your travelling party.
1. Definitions
In these Terms and Conditions, the following definitions apply:
"Amanah" / "We" / "Us" / "Our" — refers to Amanah Travel Services, the travel agency providing services under these terms.
"Client" / "You" / "Your" — refers to the person making the booking and all members of the travelling party.
"Booking" — refers to any reservation of flights, hotels, packages, transfers, or any other travel product arranged through Amanah.
"Supplier" — refers to third-party providers including airlines, hotels, ground operators, consolidators, cruise lines, and insurance providers.
"Package" — refers to any combination of two or more travel services sold together as a single product.
"Consolidator" — refers to wholesale ticket suppliers from whom Amanah sources discounted fares on your behalf.
2. Booking Process & Confirmation
2.1 How to Book
Bookings may be made in person, by telephone, via our website enquiry form, or via email. A booking is not confirmed until you have received a written confirmation from Amanah Travel Services and the required deposit or full payment has been received and cleared.
2.2 Accuracy of Information
You are responsible for ensuring that all passenger details provided — including full legal names as they appear on passports, dates of birth, passport numbers, and contact details — are accurate. Amanah Travel Services accepts no liability for any loss, additional cost, or disruption arising from incorrect information provided by the client.
2.3 Booking Confirmation
Upon receipt of your deposit and confirmation of availability, we will issue a booking confirmation and invoice. Please review all details immediately and notify us within 24 hours of any discrepancies.
2.4 Age Requirements
The lead booking passenger must be aged 18 or over. Bookings for minors travelling without an adult must be discussed with our team in advance, and relevant consent documentation may be required by airlines and border authorities.
3. Payment Terms
3.1 Deposits
A non-refundable deposit is required at the time of booking to secure your reservation. The deposit amount will vary depending on the nature of the booking and will be confirmed at the time of quotation. Payment of a deposit constitutes acceptance of these Terms and Conditions.
3.2 Balance Payment
The remaining balance is due no later than 10 weeks (70 days) before the departure date for package bookings, and as specified for individual flight or hotel bookings. Failure to pay the balance by the due date may result in the cancellation of your booking and forfeiture of your deposit.
3.3 Late Bookings
For bookings made within 10 weeks of departure, full payment is required at the time of booking.
3.4 Payment Methods
We accept bank transfer, debit card, and credit card. Credit card payments may be subject to a processing fee. All payments must be made in GBP (£) unless otherwise agreed in writing.
Prices quoted are valid at the time of quotation only. Fares — particularly airfares sourced through consolidators — are subject to availability and can change without notice until full payment is received and tickets are issued.
4. Cancellation & Refund Policy
We understand that plans can change. The following cancellation and refund terms apply. Please note that many of our fares are sourced through airline consolidators and may be subject to stricter cancellation terms imposed by the supplier.
4.1 Cancellation by You — General Bookings
All cancellation requests must be made in writing (email is acceptable) and are effective from the date received by Amanah. The following charges apply based on how far in advance of departure you cancel:

4.2 Consolidator & Non-Refundable Fares
Many airfares booked through our consolidator partners are non-refundable and non-changeable once ticketed. This will be clearly communicated to you at the time of booking. For such fares:
No cash refund will be issued upon cancellation regardless of notice period.
Some tickets may allow a name change or date change subject to an airline fee plus our amendment fee of £50 per person.
We strongly recommend purchasing travel insurance to cover non-refundable costs.
4.3 Hajj & Umrah Cancellations
Due to the nature of pilgrimage packages and advance payments required to Saudi authorities, Hajj and Umrah bookings are subject to their own specific cancellation terms which will be provided in your booking confirmation. Generally:
Deposits for Hajj packages are non-refundable in all circumstances.
Cancellation of Umrah more than 60 days before departure — loss of deposit plus any non-recoverable costs.
Cancellation within 60 days of Umrah departure — up to 100% of the package cost may be lost.
In the event of visa refusal by Saudi authorities, we will endeavour to recover costs but cannot guarantee any refund of visa-related fees.
4.4 Hotel & Accommodation Cancellations
Hotel cancellation policies vary by property and rate type. Free cancellation periods, if applicable, will be stated at the time of booking. Non-refundable hotel rates will be clearly identified and no refund will be issued once booked.
4.5 Refund Processing
Where a refund is due, it will be processed within 14 working days of the cancellation being confirmed, subject to any amounts recovered from suppliers. Refunds will be returned via the original payment method unless otherwise agreed.
⚠ Amanah Travel Services acts as an agent for suppliers. Any refunds are subject to the policies of the relevant airline, hotel, or consolidator. We cannot issue refunds that have not been authorised and returned to us by the supplier.
5. Amendments & Changes
5.1 Changes by You
Requests to amend a confirmed booking (e.g. name corrections, date changes, destination changes) must be made in writing. Amendment requests are subject to availability and supplier approval. An administration fee of £25 per change will apply in addition to any supplier-imposed fees. Some bookings, particularly consolidator fares, may not be amendable.
5.2 Changes by Amanah or Suppliers
Occasionally, suppliers (airlines, hotels, operators) may make changes to confirmed bookings. We will inform you as soon as possible of any significant changes. Where a change is significant (e.g. departure time change of more than 12 hours, or change of departure airport), you may choose to accept the change, accept an alternative, or cancel with a full refund of recoverable costs.
5.3 Force Majeure
Amanah Travel Services shall not be liable for any cancellation, amendment, delay, or failure to perform due to circumstances beyond our reasonable control, including but not limited to: natural disasters, pandemics, acts of war, civil unrest, government action, strikes, or extreme weather events.
6. Travel Documents & Visas
It is your sole responsibility to ensure that you hold a valid passport and any required visas, travel permits, or health documentation for all countries in your itinerary — including transit countries. Amanah Travel Services can provide general guidance and visa assistance as an additional service but cannot guarantee visa approval, which is at the sole discretion of the relevant embassy or authority.
Passports must be valid for at least 6 months beyond your return date (some countries require more).
Some nationalities may face travel restrictions to certain destinations. It is your responsibility to verify this.
We accept no liability for denied boarding, refused entry, or deportation due to inadequate travel documents.
Visa fees are non-refundable once submitted to the embassy, regardless of the outcome.
7. Travel Insurance
🛡️ Amanah Travel Services strongly recommends that all clients take out comprehensive travel insurance at the time of booking. Insurance should cover cancellation, curtailment, medical emergencies, baggage loss, and personal liability.
If you decline travel insurance, you accept full financial responsibility for any losses that would otherwise have been covered. We can arrange travel insurance on your behalf — please ask your travel consultant for details.
8. Liability & Responsibility
8.1 Our Role as Agent
Amanah Travel Services acts as an agent for airlines, hotels, ground operators, and other suppliers. We are not the principal provider of the travel services themselves. Our liability is therefore limited to the proper performance of our obligations as an agent, including selecting reputable suppliers and communicating accurately on your behalf.
8.2 Supplier Performance
We are not liable for any failure, delay, accident, injury, illness, or death caused by a supplier's performance or actions. Any claims in relation to supplier services should be directed to the supplier and, where applicable, through your travel insurance.
8.3 Limitation of Liability
To the fullest extent permitted by law, Amanah's total liability to you shall not exceed the total amount paid by you to Amanah for the affected booking.
9. Complaints Procedure
If you experience a problem during your trip, please contact us as soon as possible so we have the opportunity to assist you in real time. Written complaints must be submitted to us within 28 days of your return date. We will acknowledge your complaint within 5 working days and aim to provide a full response within 28 days.

10. Data Protection & Privacy
Amanah Travel Services collects and processes personal data in accordance with applicable UK data protection legislation, including the UK GDPR. Your personal information is used solely for the purposes of processing your booking and providing travel services. We will not sell or share your data with third parties except where necessary to fulfil your booking (e.g. providing passenger details to airlines or hotels).
By making a booking, you consent to the processing of your personal data as described above and in our Privacy Policy.
11. Governing Law
These Terms and Conditions are governed by and construed in accordance with the laws of England and Wales. Any disputes arising from these terms or any booking shall be subject to the exclusive jurisdiction of the courts of England and Wales.
